This notice explains what personal information Francis Weybridge holds about the people we deal with, why we hold it and what your choices are. We are a business-to-business company, so the information we hold is almost entirely business contact details.
Who we are
Francis Weybridge is the controller of the personal information described in this notice. If you have a question about your information, contact us.
What information we collect
We collect and hold:
- your name, job title and the company you work for
- your business email address, telephone number and business address
- the content of emails, calls and other correspondence between us
- details of enquiries, quotations and orders you are involved in
We get this information either directly from you, when you contact us or reply to us, or from business sources that are publicly available, such as your company’s website, trade directories and professional networking sites.
We do not ask for, or knowingly collect, sensitive personal information.
Why we use it
We use this information to:
- respond to enquiries and provide quotations
- contact people in relevant roles at manufacturing businesses to introduce what we do
- correspond with customers and with manufacturers and other suppliers
- arrange and fulfil orders, and keep the business and tax records we are required to keep
Our legal basis
Under UK data protection law we need a lawful basis for using personal information. We rely on:
- Legitimate interests: running and developing our business by corresponding with customers, suppliers and prospective customers in their professional capacity.
- Contract: where we need the information to enter into or carry out an agreement with you or your company.
- Legal obligation: where we must keep records, for example for tax purposes.
Business enquiries and communications
We sometimes contact people at manufacturing businesses by email or telephone to introduce our services. We only do this where we think what we offer is relevant to the person’s job, we say clearly who we are, and every message gives a way to opt out.
Asking us to stop contacting you
You can ask us to stop contacting you at any time. Reply to any email from us, or contact us, and we will stop. We keep a minimal record of your request so that we do not contact you again by mistake.
Supplier and customer correspondence
To obtain quotations we share drawings, specifications and quantities with manufacturers. These are technical documents and do not normally contain personal information. We do not pass a customer’s contact details to a manufacturer, or a manufacturer’s to a customer, unless that is needed to carry out the work and the people involved would expect it.
Who else sees your information
We do not sell personal information. We use a small number of service providers to run the business, such as our email and website hosting providers, and they process information on our behalf. Some of these providers may store information outside the UK. Where they do, we rely on the safeguards that UK data protection law requires.
How long we keep it
We keep customer and supplier records for as long as we have a working relationship and for up to six years afterwards, which is how long we need to keep business and tax records. If we have contacted you and there has been no response or relationship, we delete or stop using your details within two years, apart from the record of any request not to be contacted.
This website and cookies
This website does not use analytics, tracking or advertising cookies, it has no contact forms, and its fonts are served from the site itself. Like any website, the company that hosts it keeps standard server logs, which include IP addresses, for security and to keep the site running.
Your rights
You have the right to:
- ask for a copy of the information we hold about you
- ask us to correct information that is wrong
- ask us to delete your information or restrict how we use it
- object to our using your information, including for direct marketing
To use any of these rights, contact us. We will reply within one month.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.
